School Volunteer Guidance

Volunteer with GUSD!

At GUSD, we recognize that volunteer assistance can significantly enrich educational programs, enhance student experiences, and strengthen partnerships between our schools and the community. Whether sharing their time, talents, or expertise, volunteers make a meaningful difference in students' lives while fostering a supportive and engaged learning environment. 

To ensure the safety and well-being of all students, volunteers must complete the appropriate clearance requirements before serving on campus. We encourage all prospective volunteers to review the Glendale Unified School District Volunteer Guidance below for information on eligibility, clearance requirements, and volunteer expectations.

Volunteer Guidance

To streamline the application and clearance process, volunteers are categorized into two tiers based on their level of student contact and supervision. 

Tier 1: Supervised Guests or Visitors (Incidental/Limited Contact) 

  • Definition: Individuals whose volunteer service is limited to fewer than 16 hours in a single month or less than 32 hours in a single school year, and who are constantly under supervision by a staff member. 
  • Examples: Guest speakers for career day, school fair helpers, people providing support to staff but not interacting with students in any way. 

 

Tier 2: Unsupervised or Regular Volunteers 

  • Definition: Individuals who may be out of the line of sight of an employee, or whose volunteer service is on a continuing basis for 16 or more hours in a single month, or 32 or more hours in a single school year (AB 506).
  • Examples: Overnight field trip chaperones, clinic/guest athletic coaches (attends very few practices), pull-out academic tutors, after-school program volunteers, room parents, volunteer drivers, field trip chaperones who might take students on their own. 

 

Once you have identified your volunteer tier, please review the corresponding application and clearance process below.

  • Tier 1:

    1. Provide Identification: Present a valid, government-issued photo identification (e.g., California Driver’s License, State ID card, or passport) to the school site’s front office for clearance via Raptor.
    2. Sign in and out at the main office on each day present. 
    3. Sign the GUSD Volunteer Code of Conduct: The signed copy will be valid for the current school year.
    4. Principal Approval: The school principal or administrative designee must verify that clearance has been obtained and that a current, signed Code of Conduct is on file in the school office. The school principal or administrative designee must provide full authorization prior to the guest’s service. 

     

    Note: No application needed for Tier 1 volunteers

  • Tier 2: 

    1. Online Application: Complete the District’s online volunteer application form via the District’s Frontline Recruiting and Hiring platform. 
    2. Provide Identification: Upload a valid, government-issued photo identification (e.g., California Driver’s License, state ID card, or passport).
    3. Sign the GUSD Volunteer Code of Conduct: When submitting the application, the volunteer must sign the Volunteer Code of Conduct. The signed copy will be valid for the current school year. 
    4. Complete the following clearances through the Human Resources Office:
      • Submit TB Clearance: Upload/submit a copy of TB clearance. 
      • Fingerprint Clearance: All Tier 2 volunteers are required to obtain Live Scan fingerprint clearance prior to beginning service as a volunteer. Fingerprinting is available in the Human Resources Office by appointment only. 
      • California Child Abuse and Neglect Reporting Act (CANRA) Clearance. This includes completing the required Mandated Reporter Training. Pursuant to SB 848, all volunteers are classified as Mandated Reporters and must complete a state-approved annual California Child Abuse Mandated Reporter Training.
    5. Principal Approval: Human Resources will verify that all clearances have been obtained and that a current, signed Code of Conduct is on file through Frontline. The school principal or administrative designee must provide final authorization prior to the volunteer’s service from the list of volunteers marked cleared by Human Resources.

     

    Note: Volunteers serving at multiple school sites within the District must be cleared by the District Human Resources office, though the application only needs to be completed once.
